Why is Microsoft Outlook slow to start up and connect to the Exchange server?

Return to: ISTS FAQ Home > Email

UniSA staff have been experiencing performance issues with their Microsoft Outlook connection to their MS Exchange email, particularly on Monday mornings. Microsoft has been working with University to help diagnose the cause of these problems and have made a recommendation which should help alleviate the impact of these problems in the short term.

The Microsoft recommendation involves changing the configuration of Outlook that is running on your PC.

The recommendation is to enable Cached Exchange Mode in Outlook.  This will keep a secure copy of your mailbox contents on your local hard disk to give you faster access to your messages even if the server is temporarily busy. A background process will run regularly (approximately every 15 minutes) to keep your local copy of e-mail synchronised with the copy on the server.

Fortunately we will in most cases be able to change this configuration setting automatically and the new setting will take effect the next time you logon after we have made the changes.   The first time you connect to the email server after this change is made your PC will need to do an initial synchronization. Depending on the size of your mailbox this will take some time to complete (approximately 15-30 minutes).  This initial synchronization will only occur once on your computer. After the first time the synchronization process will be take less time because only the changes to your mailbox (e.g.. new messages sent and received since your last logon) will need to be synchronised.
