Quote and Design Process

The process required for quoting and creating finished designs may be unfamiliar to many clients. At Document Services we aim to provide accurate pricing, realistic timeframes and specific designs for the variety of work we produce, which enables us to match client requirements with a quality finished product. We follow a standard series of steps to generate quotes and finalise a creative direction:


Full client brief:

To accurately estimate creative services we require detailed information about your project and the aims you desire to meet. This includes details regarding print quantity required, available budget and preferences on format, style, colour, overall presentation and finishing. For projects requiring photographs, illustrations, maps, charts or diagrams we need to determine what content is to be supplied and what needs to be sourced or created. Aspects such as shelf life, the relationship to other existing print projects or the building of an overall brand look through further projects is also important for design consideration.

Often we can assist in the creation of a final product specification by providing specialist knowledge, technical advice and creative ideas to more accurately target your intended market and fit within an acceptable budget. A solid understanding of exactly what you are aiming to achieve will allow us to create an approach specifically matched to your needs.


Quote acceptance:

After resolving all technical and design considerations we will provide quotes for design and print. This price will include the creation and production of one design direction (and necessary proofs), based on all the information gathered and an initial concept agreement between both parties. Multiple design concepts will not be created unless specifically asked for and then priced accordingly based on time required.

Once this quote is accepted the design process will start and from this point any major alterations beyond basic edits, corrections or adjustments will need to be quoted as additional to the original price and approved before design and layout is continued. 


Design proofs:

Once the design is ready to be viewed and checked, a proof (usually a PDF file via email) is supplied and client comment made. Any alterations are highlighted for correction, changes made and further proof(s) supplied. For projects requiring special folds, cutting dies or other finishing effects a print dummy will normally be supplied so that a physical proof can also be checked for accuracy.


Final approval:

No project is printed without final consent from the client. Once all corrections are made and a final proof supplied, written approval is required to progress the job through to a print order. For jobs printed on an offset press, a more accurate printed proof may be available once the file has been sent to the printer and is output from their print system.


Delivery:

Finished jobs are packed, labelled and delivered immediately upon completion of printing and finishing. We can mail merge client databases to send to multiple destinations, arrange interstate or international postage or hold for customer collection from our office. Document Services also operates its own courier service for door to door pick-up and delivery, to ensure that all material arrives safely and most importantly on time!
